Administration Assistant

An exciting opportunity has opened up for an Administration Assistant based at the RRG Group Head Office. The ideal candidate will have experience of working within a busy environment.

You must have excellent organisation and communication skills, the ability to multitask and work to deadlines are essential for this role.

Administration Assistant Responsibilities include:

General Administration

  • Processing correspondence
  • Filing of general documents/correspondence
  • Assist in maintenance of Group filing system
  • Dealing with general office administration
  • Dealing with emails received directly
  • Archiving
  • Stationery ordering for Head Office


  • Manage electronic diary system
  • Arrange internal and external meetings
  • Minute taking and transcription
  • Arrange refreshments/lunches for meetings as required
  • Compile weekly figures from the Extranet for sales/aftersales meetings
  • To ensure reports/agenda are copied and ready for distribution before the meeting along with any other relevant documents
  • Assist with ad hoc event management

Extranet / Intranet

  • To ensure information available on the company Extranet is kept up to date for the Directors Communications section


  • Reporting claims to brokers
  • Monitoring return of insurance claim forms and ensuring accurate completion
  • Maintaining and updating insurance database and manual files
  • Responding to insurance correspondence
  • Chasing estimates and invoices
  • Liaise with Directors re progress of insurance claims
  • Maintain company MID database by liaising with all centres

Customer Relationship Management

  • Handle customer complaints via telephone or email
  • Log customer complaints on database
  • Investigate and discuss with relevant dealership
  • Mediate until complaint has been resolved

Staff Uniforms

  • Liaise with suppliers
  • Provide service to dealerships for supply of uniforms

Maintenance Team

  • Ensure maintenance log is updated each day and distributed to team
  • Assist Maintenance team with queries from centres


  • Deal with incoming telephone calls including customer complaints and queries
  • Take messages for Executive Secretary/Directors when not available
  • Greet visitors to Head Office when required ensuring visitors book is completed and passes allocated
  • Arrange hotel accommodation and travel for Directors when necessary
  • Keep work area neat and tidy
  • Any other duties as and when required by the Group

Administration Assistant Essential Skills include:

  • Minimum of 2 years administration experience
  • Strong relationship building skills encouraging a better support system
  • Act with energy and enthusiasm with a 'can do' approach
  • Ability to build relationships and work collaboratively across the business
  • Ability to absorb information quickly and explain complex information in easy to understand terms
  • Outstanding attention to detail and a strong focus on accuracy and quality
  • Proven track record of working under tight deadlines and achieving results
  • Passion for learning and desire to develop own knowledge and skills
  • Must have business administration experience or be working towards the skills of an executive assistant which should include Writing Skills, Supply Management, Scheduling, Microsoft Office Skills, Organization, Time Management, Presentation Skills, Equipment Maintenance, Travel Logistics, Verbal Communication.
  • This is a completely varied position but working at Executive Level – a high degree of confidentiality is key to this role.
  • Part time hours across Monday to Friday will be considered for the right calibre of applicant.
  • Must have clean driving licence.
